About the role
The Office Administrator / Manager keeps the office organised, usable and ready for work. You will coordinate facilities, vendors, supplies, assets and administrative records with the colleagues responsible for finance, people operations and technical support. The role requires dependable follow-through and sound judgement about priorities, with purchases and payments proceeding through agreed approval channels.
What you’ll own
- Coordinate office readiness, supplies, cleanliness and meetings, identify operational problems early and organise appropriate support so recurring issues receive a lasting resolution rather than repeated workarounds.
- Maintain a facilities and maintenance schedule, coordinate building, utility and service-provider issues, and keep affected colleagues informed about disruptions, temporary arrangements and the progress of repairs.
- Obtain and compare vendor quotations, prepare purchase requests and track approved orders, checking deliveries and documentation before passing invoices to finance for the required payment review.
- Keep asset and equipment records current, coordinate authorised issue and return with relevant colleagues, and maintain visibility of the holder, condition and supporting paperwork for company property.
- Maintain office records, vendor details and renewal reminders, protect sensitive documents and escalate upcoming decisions so the appropriate owner can review them and provide instructions.
- Support joiner and leaver logistics with people operations and technical colleagues, coordinate desks, equipment and access requests, and record completion without independently granting unauthorised access.
- Coordinate visitors, approved travel and office events, retain expense evidence and report operational issues, commitments and pending approvals so the responsible colleagues have a clear picture of requirements.
What we’re looking for
- Experience coordinating office administration or facilities work, with evidence of following issues through vendors, internal colleagues and the required approvals to completion.
- Practical record-keeping skills, including reliable tracking of purchases, assets, renewals and supporting documents without depending on memory or informal messages.
- Confidence using spreadsheets, shared documents and calendars, with the ability to maintain useful records and coordinate meeting-room or equipment support.
- Clear communication in Urdu and working English, with professional handling of colleagues, visitors and vendors when arrangements change or problems require escalation.
- Sound judgement about priorities, sensitive information and spending boundaries, including when to escalate safety, access or financial concerns to the responsible owner.
Useful, but not essential
- Experience in a services or office-based business, including coordinating equipment readiness, vendor support and practical arrangements for employees joining or leaving the organisation.
- Familiarity with basic expense records, procurement comparisons and routine workplace safety coordination, while recognising when finance, technical or specialist advice is required.
What good work looks like
- Office issues, maintenance needs and renewals have clear owners and documented follow-up, with colleagues informed of material disruptions.
- Purchase, expense and asset records are complete enough for finance and other authorised reviewers to verify what occurred.
- Employee and visitor arrangements run from current information, and operational commitments stay within the approved process and assigned responsibilities.
Benefits for employees
A benefits package that supports health, learning and life outside work.
- Health insurance
- Provident fund
- Quarterly bonus
- Fuel allowance
- Gym allowance
- Paid courses and certifications
- Monthly work-from-home days
- Yearly company trip
